Winn Solicitors Upgrade To BigHand Digital Dictation Workflow Software

Winn Solicitors upgrade 120 users from their incumbent standalone dictation equipment to BigHand workflow software to get more done

Standalone systems promote one to one working, this makes the transfer of dictations to other secretaries in times of annual leave or sickness very difficult. Administration of the system was therefore incredibly labour intensive and became the responsibility of the IT team. Furthermore authors were unable to name individual dictations, therefore secretaries could not easily determine the content and urgency of each. Security of voice files was poor, and there was certainly no audit trail. BigHand software tracks every dictation created and it is simply not possible to lose files.

As accident and compensation specialists, we rent a second site to a number of physiotherapists for their private consultations. Physios now dictate their notes and submit to a pool of Winn secretaries who transcribe and return their documents. Through BigHand physios are able to submit dictations at any time and from any location, they can now go home after clinic and dictate from there rather than having to stay late to finish work.

I had used an alternative workflow system at another firm, but much preferred the interface and reporting aspects of BigHand. For authors there is no change in working practice, but functionality for the secretaries and administrators is significantly improved, there is far greater visibility of work and they can very easily reallocate dictations without having to involve IT.

BigHand reports are a valuable source of management information, they have enabled us to establish benchmarks and KPIs for secretaries, one report we find particularly useful is the time taken to dictate, versus the time taken to transcribe. Our productivity has increased, and with a positive response across the firm, there is no doubt that the project has been a great success.’’
