OutIndex Announces New Lotus Notes Processing Capabilities

Lotus Notes Documents and eMail Message Bodies Now Exported in RTF Format

Lotus Notes remains one of the most difficult email formats for electronic discovery products to process. Many electronic discovery products convert Lotus Notes eMail messages in Microsoft Outlook formats, introducing a loss of message fidelity as message bodies are typically converted into HTML format. Lotus Notes is known for inconsistent handling of the HTML format, creating formatting problems when sending eMail messages from Lotus Notes to other email systems.

The OutIndex approach to processing Lotus Notes email messages is to NOT perform conversion. Instead, OutIndex accesses the Lotus Notes client application directly through the Lotus Notes API's (Application Programming Interface). This is not only a more efficient approach, but also provides more accurate processing.

Native Notes Messages

When individual email messages need to exported from the .NSF email database file, OutIndex saves these messages in the same RTF format in which the messages were created. This ensures the messages display accurately without the loss of formatting information. Message metadata is extracted and available for export or inclusion in a load file.

Embedded Objects

Because the Lotus Notes message is now saved in RTF format, the embedded objects (i.e. graphics) remain within the message body and are not extracted and added back as message attachments.

TIFF Generation

OutIndex executes imaging of Lotus Notes email messages from within the Lotus Notes client application. This ensures the purest representation of the email message in TIFF or PDF format.

All Documents View

Besides the standard Notes folder organization, OutIndex can process items that are only displayed in the "All Documents View." This ensures that all Notes items in the NSF database file are extracted and processed.

Non-email NSF Database Files

Because of the method OutIndex accesses Notes NSF database files, OutIndex has the ability to process any Notes NSF database and is not limited to templates for email items like other products. This allows OutIndex to extract and process virtually any custom Notes database. Because Notes is often used to create document libraries, OutIndex will extract the document record and link all associated files as attachments.

NSF Native Production

A further advantage to the OutIndex processing model for Lotus Notes is that email messages within a NSF container can be filtered using metadata and keyword criteria. A filtered, de-duplicated NSF file can be produced in order to comply with discovery agreements that specify production in a format that the documents are maintained by counsel's client.
