The Freedom of Information Act requires that government organizations be responsive in finding, retrieving and supplying all relevant documentation when a request from the public is received. Given the magnitude of available data in government documentation libraries, organizations such as NASA require a FOIA solution that can identify specified information more quickly, while at the same time reduce the risk of inconsistencies, oversights and errors in the review and disclosure process.
Equivio's ability to group near-duplicate files enables government agencies in fulfilling their FOIA mandate more efficiently, while minimizing the risk of disclosure errors. Near-duplicate files are documents with small differences; for example, revised versions of the same document containing a few different words. The near-duplicate groupings allow reviewers to skip redundant data, while focusing exclusively on the unique information in each document. The Equivio groupings also enable bulk handling of near-duplicate sets, while ensuring that similar documents are treated consistently.
Using Equivio's system, NASA Langley Research Center identified 30% near-duplicates in the FOIA documents processed with the software. This will significantly reduce the time and cost of the document review effort. As a result, Equivio's ability to group near-duplicates will help NASA Langley streamline its FOIA response processes, ensuring a more timely response to information requests and ultimately providing a better service to the public.
