New three-day workshop to help clients create policies for managing the complete lifecycle of email and mitigating email risks.
Montreal, Canada (Vocus/PRWEB ) December 2, 2008 -- Messaging Architects (www.messagingarchitects.com), the experts in email risk management and compliance, today announced a new three-day workshop aimed at helping organizations manage and mitigate risk throughout the lifecycle of email. Upon completing the private one-on-one workshop, organizations will walk away with an email policy tailored for their specific business needs to ensure the highest level of email security and compliance with record retention laws.
Legal and technical experts will conduct the workshop and draw from relevant laws and regulations, court rulings and customer deployments to help clients understand the issues and trends driving the need for policy-driven email lifecycle management. Clients will then learn how to interpret compliance requirements and enforce them within their organization.
“While many companies have a written policy for how employees can or can’t use email, most still lack a policy on how to manage, archive and destroy email once it has entered the system,” said Greg Smith, Director of Services at Messaging Architects. “This can put organizations at even greater risk.”
Organizations that can’t quickly produce their email records during litigation, an internal audit or an open records request, or that delete email before it is legally permitted, run the risk of incurring astronomical e-discovery fees and regulatory fines, explained Smith.
The average lawsuit costs organizations $1.5 million with 30% of the cost associated with IT-related tasks, such as searching for email. Failure to produce email records altogether during legal discovery means organizations don’t have the evidence needed to defend themselves. And if the courts determine that an organization has destroyed its email records, it can be slapped with a hefty fine and imprisonment. In fact, 84% of all e-discovery fines are due to email destruction.
Messaging Architects’ policy workshop helps organizations identify email records that should be archived and readily retrievable based on record retention requirements specific to their industry segment, and according to the identities, roles and responsibilities of individuals within the organization and the value of their email relative to the business. The workshop guides organizations to design policies that manage the full lifecycle of email – from the moment an email sent or received to its end-of-life destruction – to mitigate risk.
“Messaging Architects’ policy workshop takes the guesswork out of what email needs to be retained and for how long, how to maintain secure, auditable records, and what should go into a formal, written policy,” said Ben Wright, Technology Attorney and one of the workshop policy consultants. “It also saves organizations time and money from having to do the research themselves and protects them from making costly mistakes along the way.”
